Staff Management

How do I add new staff?

  1. Go to Settings in the left-hand navigation.
  2. Click the Team tab.
  3. Click Add Staff in the top-right corner.
  4. Enter the staff member's name (optional) and email (required), then select a role.
  5. Click Save, an invitation email is sent promptly.

How do I remove a staff member?

  1. Go to Settings > Team.
  2. Click the (more options) icon at the end of the staff member's row.
  3. Select Remove to revoke their access.

Removed staff lose access promptly. Their historical activity remains in audit logs.

What roles are available?

HiBoop uses role-based access control (RBAC). The default roles are:

  • Account Admin, full access to settings, billing, team management, and all patient records
  • Clinical Admin, clinical access plus staff and program management; no billing
  • Care Provider, access to assigned patients, assessments, and reporting
  • Front Desk, patient and schedule management; no access to results or reports
  • Support Staff, limited access for basic administrative tasks

Admins can review and edit role permissions under Settings > Roles.

How do staff accept their invitation?

Staff receive an email with a secure link. They click the link, set a password or sign in with Google/Microsoft/Apple, and are added to the clinic automatically. If the invite email is missing, ask them to check spam or use Settings > Team > Resend Invite.


Patient Management

How do I archive a patient?

Option 1: From the Patient Profile

  1. Open the patient's profile from the Patients page.
  2. Click the (more options) button in the top-right corner of the profile.
  3. Select Archive Patient and confirm.

Option 2: From the Patient List

  1. On the Patients page, find the patient.
  2. Click the icon at the end of their row.
  3. Select Archive and confirm.

Archived patients are removed from active workflows but their data is preserved. They can be unarchived at any time.

How do I filter my patient list?

Use the filter controls at the top of the Patients page to narrow by:

  • Assigned clinician
  • Patient status (Active, Archived)
  • Program or assessment schedule

Combine filters to create focused clinical views. Filters apply promptly, no page reload needed.
